Title: Grants and Clinical Operations Coordinator 

Job Type: Full time 

Community Care Partnership of Maine (CCPM) is seeking a highly motivated and experienced Grants and Clinical Operations Coordinator to support the grants team in coordination of clinical, quality-improvement and health care innovation projects. This is a full time (1.0 FTE) position reporting to the Director of Grants and Development.

This is a primarily remote, Maine-based position with occasional required in-person obligations.

Key Responsibilities:

Grant Portfolio Administration & Tracking

  • Support the Director of Grants & Development with multi-million-dollar grant portfolio administration and tracking, including single and multi-year federal and foundation grants.

  • Coordinate internal tracking documentation ensuring deadlines for applications, reporting, project milestones, evaluation metrics, and internal and external communications are met.

  • Collect information, conduct research and compile data needed for grant applications, report submissions, and internal and external communication materials.

  • Support other operational components of newly secured awards as directed by Director of Grants & Development.

Program and Service Operations Support

  • Coordinate with the Director of Research & Innovation to support administrative functions related to client onboarding for CCPM Controlled Substance Stewardship service.

  • Coordinate with various CCPM staff to support client enrollment in courses within CCPM’s Learning Management System.

  • Support other operational components of grant-funded programs carried out by Quality & Clinical and Research & Innovation departments, as needed.

Communications & Dissemination

  • Prepare materials and agenda for weekly grants team meetings.

  • Compile internal and external information in support of CCPM’s monthly network newsletters and annual report.

  • Research and track operational components of miscellaneous development activities, such as staff recognitions awards, regional and national conference presentation submissions, and project press releases for new awards or notable grant project achievements.

  • Support development of educational materials related to grant-funded projects, such as health care toolkits, summary flyers and/or social media posts, and course material for CCPM’s online Learning Management System.

Other Responsibilities

  • Attend weekly grants team meetings, and other required meetings as requested.

  • Interact harmoniously and effectively with others, with commitment to teamwork.

  • Participate in quality improvement and professional development activities to keep current in health care trends and practices.

  • Model CCPM’s mission, core values, and culture in both internal and external communication.

  • Maintain confidentiality and comply with HIPAA and CCPM policies.

  • Abide by the organization’s compliance program and its requirements.

  • Performs all other duties assigned by the supervisor and/or designee.

Relevant Experience and Preferences:

  • Bachelor’s degree required in business, healthcare or a related field (or demonstrated equivalent experience).

  • Minimum 2 years of relevant experience; project coordination preferred.

  • Strong project management skills.

  • Knowledge of healthcare systems, clinical workflows, or population health preferred.

  • Highly organized with the ability to manage multiple priorities and deadlines.

  • Exceptional written communication skills.

  • Valid State of Maine Driver’s License with acceptable driving record.

  • Knowledge of the various software used by CCPM, including Microsoft Office skills (Excel, Word, Power Point, OneNote, Outlook).
